Introduction

Panopto is Virginia Tech’s chosen video content management system and video creation tool that allows users to create, share, and manage video content easily. 

Panopto is integrated into Virginia Tech’s Canvas platform, allowing instructors to record, upload, and share videos directly within Canvas. Panopto also provides tools for organizing videos, tracking engagement, and enabling students to review content.

General Migration

Where are my migrated videos located in Panopto?

In Panopto, migrated videos are stored in: My Folder → Kaltura migrations

The migration placed videos into a flat structure without subfolders. Please note that by default, folders only show 25 entries. Navigate to the next page(s) to view additional entries.


How can I verify whether all my videos migrated?

Before June 30, 2026, log in to Panopto and confirm your videos have been moved. Only your “owned” videos will be visible in the Kaltura migrations folder. You can also access your videos by selecting the Panopto Video icon in the Canvas global navigation menu. Please note that students must access Panopto via Canvas.

If you’re faculty or staff, you can access video.vt.edu until June 30, 2026.


Why are some of my videos missing in Panopto?

Panopto may initially display only part of your library or playlists first.

To view all videos:

  1. Go to Panopto.
    • Students will need to go to Panopto via Canvas.
  2. Click My Folder.
  3. Open the Kaltura migrations subfolder.
  4. Use the page navigation buttons at the bottom to move through additional pages of videos.

To stay within contractual storage limits, videos created on or before June 30, 2022, were moved from active to archived status in Panopto on June 22, 2026. To learn how to locate and restore archived videos, see: Video Archiving.

Please note:

  • Zoom cloud recordings after May 17 will not automatically be transferred to Panopto, unless the meeting was scheduled using the Zoom tool in a Canvas site.
  • If you were added as a collaborator (co-viewer, co-publisher, or co-editor) on a Kaltura video, the owner of the video must re-add your access in Panopto. We recommend that video owners create folders for sharing access to videos. See Working with Folders for more details.
  • In order to stay within contractual storage limits in Panopto, a small number of unplayed videos from 2022 or earlier, that have not been published to a Canvas course or a video.vt.edu channel or collection, will be retained outside of Panopto until June 30, 2027. These videos will not appear in your Panopto videos list, but they can be added to your Panopto account by a TLOS employee upon request. See: What should I do if a video failed to migrate?

Organizing Migrated Content

How should I organize or share migrated content?

Kaltura videos were migrated into a Kaltura migrations folder under My Folder.

Recommended approach:

  1. Create subfolders by topic, course, or semester.
  2. Move videos from Kaltura migrations into subfolders.
  3. Share the folder with others.

Why don’t my Panopto folders match my old Kaltura organization?

Kaltura did not have folder structures, and the migration did not preserve Canvas course galleries. Videos were migrated into a single Kaltura migrations folder and content will need to be organized manually using Panopto's folder structures. See Working with Folders for more details.


Did Kaltura playlists migrate automatically?

Yes, Kaltura playlists were migrated to Panopto and should appear in the playlist owner’s Kaltura migrations folder under My Folder in Panopto.


Why can't people view videos in my playlist?

If you shared a playlist with others, it does not automatically grant access to the videos it contains. You must also ensure that viewers have permission to view the videos in the playlist for the playlist to not appear empty.

To allow access, either:

  • Create a folder that contains the playlist(s) and the videos and share the folder (recommended), or
  • Update the folder sharing settings where the videos are located to Your Organization (unlisted) or Public (unlisted).

Sharing Content

Why can’t I find videos someone shared with me in Kaltura?

Only videos where you were the original owner migrated into your Panopto account.

Videos shared with you as:

  • Co-Editor
  • Co-Publisher
  • Co-Viewer

in Kaltura did not migrate into your account. The original owner must re-share them in Panopto. We recommend that the original owner:

  • Organize videos in Kaltura migrations into folders
  • Share the folder with others.

Why are my previously public videos now private?

During migration, public Kaltura videos were reset to private in Panopto for security and permission review purposes.  

You should verify and update sharing permissions manually if needed.

Migration Problems

What should I do if a video failed to migrate?

Submit the Locate Missing Kaltura Videos form and a Panopto administrator will assist.


Why did some of my Kaltura links in Canvas fail to migrate to Panopto?

Some relinking failures occurred because:

  • The original content was not actually hosted in our Kaltura environment. Since these items were not stored in our Kaltura system, they were not included in the migration to Panopto and could not be automatically relinked. For example:
    • The embedded media was either a YouTube video connected through Kaltura’s YouTube connector 
    • The Kaltura content is hosted in another institution’s Kaltura account.
  • The content was not added to Canvas using Kaltura's Canvas integration tools. If you pasted a link directly into Canvas instead of embedding or linking the media through the Kaltura tools, the relinking service was unable to relink the videos. For example:
    • If you used video.vt.edu to make a video unlisted and then copied and pasted that URL into Canvas, it would not be recognized as a Kaltura link for automatic relinking.
  • Other linking issues may have prevented migration.
    • In some cases, other unsupported linking formats or technical issues may have caused relinking to fail.

These links will need to be reviewed and manually re-embed to point to the appropriate source content.

Video Archiving

Why are some of my videos archived?

To stay within contractual storage limits, videos created on or before June 30, 2022, have been moved from active to archived status in Panopto as of June 22, 2026.

These videos are in your archive, and you can restore them if needed.


How can I unarchive a video?

How to Restore Archived Content covers several ways you can locate and unarchive videos.


Can I unarchive videos in bulk?

Yes, videos can be unarchived in bulk through the Panopto System settings.

  1. Go to https://virginiatech.hosted.panopto.com.
  2. Click on System in the bottom left, then Archive to load your archived videos.
  3. Hover over a video and check the box to select it. 
  4. You will now be able to:
    • Continue to select other videos to unarchive or
    • Check the select box at the top of your Archive to select all videos.
  5. Once you're done selecting your videos, scroll to the top of the page and click on the Restore button (folder icon with an arrow pointing up).
    • If this button is grayed out, this means that one or more videos you’ve selected are already in the process of being unarchived. Unselect these videos and try again.

How long does it take to unarchive videos?

According to Panopto, restoring a video can take up to 72 hours, but will typically complete within 48 hours.

Zoom Recording

Why didn’t my Zoom Cloud recording appear in Panopto?

Beginning on May 18, 2026, Zoom meeting videos stopped being automatically archived in the video content management system. Instead, Zoom cloud recordings are now available for sharing and downloading in Zoom for an extended period of two years. If a video owner needs to retain a video for more than two years, they can download the cloud recording and upload it to Panopto. After enabling and opening the Panopto Course Folder tool in a Canvas course, teaching-related recordings scheduled using the Zoom tool in Canvas will be automatically stored in Panopto.

This change was made after careful analysis of Zoom data that shows most meeting recordings are not viewed again, and those that are viewed are rarely referenced after two years.


How do I share Zoom recordings that were created after May 17?

Zoom recordings are now retained for 2 years. Share directly from Zoom: Managing and sharing cloud recordings.

If the video will be used for more than 2 years, download and manually upload the recording to Panopto, then share the video

If you would like to share multiple videos, create a folder, then add, move, or copy the videos to a folder. Sharing the folder grants access to the videos. Learn more about working with folders in Panopto.


How do I set up Zoom recordings to auto-transfer to Panopto?

After enabling and opening the Panopto Course Folder tool in a Canvas course site, recordings scheduled using Zoom tool will be automatically published to the Panopto course folder. 


Where can I set up Zoom recordings if I'm not teaching?

All Virginia Tech faculty and staff have a draft course in Canvas where meetings can be scheduled, or a new Canvas site can be created by clicking Start a New Course on the Canvas Dashboard.

Zoom recordings can be moved from a Canvas site's Panopto course folder to other folders that you've created. See How to Copy and Move Videos.


What should I do if my Zoom cloud recordings are not uploaded to Panopto when using the Zoom tool in Canvas?

The Zoom-to-Panopto integration in Canvas was completed on May 22, 2026. If you scheduled your Zoom meetings through the Zoom tool in Canvas and the cloud recordings are not appearing in Panopto, check the following:

  1. Make sure that the Panopto Course Folder tool is enabled in Your Canvas course.
  2. Open the Panopto Course Folder tool in your Canvas site at least once to initialize the Panopto course folder.
  3. Allow additional processing time for the recording to appear in Panopto after the Zoom meeting ends. 

Please note:

  • Zoom meetings scheduled in Canvas and recorded to the cloud between May 18 and May 21, 2026 did not transfer automatically to Panopto.
  • If you want the recordings to appear in Panopto, manually download the recording from Zoom and upload it to Panopto.

Canvas

What is the difference between "Panopto Video" on the Canvas global navigation menu and "Panopto Course Folder" in a Canvas course?

The Panopto Video icon in the Canvas global navigation menu takes you to your Panopto homepage where you can access My Folder, browse other Panopto folders you have permission to view, and manage your videos.

The Panopto Course Folder link in a Canvas course navigation menu takes you directly to the Panopto folder for that specific course. This folder contains videos associated with the course, such as videos the instructor has uploaded or moved into the folder, as well as cloud recordings from Zoom meetings scheduled through the Zoom tool in that Canvas course.


Why is “Panopto Course Folder” missing from my Canvas course navigation?

The Panopto Course Folder course navigation item may not be enabled.

To enable it:

  1. Open the Canvas course.
  2. Go to Settings.
  3. Click on the Navigation tab.
  4. Locate Panopto Course Folder from the bottom list and drag it to the top list. 
  5. Click Save.

Video embeds and links in Canvas course sites from Summer 2022 onward have been relinked with their Panopto version. Note that in places such as Canvas Pages, where videos are relinked, you may notice that there were edits made by the “Panopto Linking Tool,” our relinking tool.

TLOS prioritized the relinking process for 2024 and 2025 summer courses with embedded or linked videos, which was completed on May 6. If you plan to create your summer Canvas course site by copying a previous course, your 2024 and 2025 summer courses can now be copied to your 2026 course site.

If you copied your content before May 6 or if you used content outside of 2024 and 2025 summer courses, your video content in your 2026 courses may still be pointing to the Kaltura version. The relinking process does not cover 2026 summer sites. Why wasn’t my old Kaltura Course Gallery recreated in Panopto?

The Panopto migration does not recreate Kaltura Course Galleries.

The equivalent feature to the Course Gallery is the Panopto Course Folder tool in the Canvas course navigation menu. When you click on Panopto Course Folder for the first time, a Panopto course folder is created for your site. You can then populate the folder with videos.

  • Teachers in the course will automatically gain Creator access to this folder.
    • Upload videos from your computer.
    • Create videos using Panopto’s recording tools.
    • Move or copy videos from another folder (such as your Kaltura migrations folder under My Folder) to this folder.
  • Students in the course will automatically gain Viewer access to view videos in this folder.

Why can’t students see videos in a playlist I embedded on a Canvas page or added to my Panopto course folder?

Adding a playlist to a Canvas page or a Panopto course folder does not automatically give students access to the videos inside the playlist. Students must also have permission to view the individual videos.

To fix this, you have two options:

Option 1 (Recommended): Publish the videos to the Panopto course folder

Move or copy the videos into the Panopto course folder along with the playlist. This grants students access to the videos. We recommend organizing all course videos/playlists in the same folder so all related content is managed in one place. For best organization, use one main folder per course, with subfolders as needed for topics, modules, or units.

Option 2: Update sharing permissions on the folder containing the videos

If the videos remain in your Kaltura migrations folder (or another folder outside the course folder), you can update the folder’s sharing settings:

  1. Open the folder where the videos are stored in Panopto.
  2. Click Share.
  3. Under Who can access this folder, change the setting from Only specific people and groups to Your Organization (unlisted) or Public (unlisted).

This allows users with the playlist link to access the videos.

Playlists themselves do not control video permissions. Access must be granted to the videos either by:

  • Placing the videos in the course folder, or
  • Updating the sharing permissions on the folder or videos themselves.

Why can't students view embedded videos in my Canvas course? 

This issue occurs when you use an embed code copied and pasted from https://virginiatech.hosted.panopto.com instead of the Panopto Video tool in the Canvas Rich Content Editor (RCE).

When you use the Panopto Video tool in the RCE to embed videos, Canvas automatically adds students to the appropriate Panopto Viewer group. If you use another method to embed videos, students may not have the permission to view them.
