This article describes what to expect with VT Google Workspace and VT Microsoft 365 service eligibility based on changes to affiliation for students and employees. In cases where a service eligibility change causes a shift to a different service, migration of email and data is not provided. It is up to you to ensure that any data or email is preserved.

In cases where a service eligibility change causes a lower storage quota and you are now over limit, your account will be read only until you reduce your storage.

In all cases, once you are no longer eligible for services, we do not grant any grace periods or re-enable your service. It is up to you to export any emails or data PRIOR to loss of access. Further, once an account is deleted, it cannot be reactivated.

Students

• Student stops taking classes without graduating: 
  • You remain with the student service for two consecutive major (Fall and Spring) semesters.
  • After these two semesters pass, you retain the student service for 60 days. During this time, notifications will be sent.
  • After 60 days, the account is deleted.
• Student graduates: Service is converted to a VT Google Workspace Alumni account after two consecutive major (Fall and Spring) semesters from the last class you took.

Employees

• You may have up to ~1 month before your employee affiliation ends. No notification is given since we do not know when this will happen. As a result, it is best to get any personal emails or files out of the account before your final day.
• Once your affiliation ends, your access is suspended, and we will delete your account and data in 45 days.  Departments can request data during the 45 days, if needed, but you will not be given access to the account during this time as you are no longer eligible for services.
