Understanding Storage and Services for Google and Microsoft Based on Constituent Groups


Introduction

The storage and services for Google Workspace and Microsoft 365 (M365) vary based on the following constituent groups.

  • Employees
  • Students
  • Alumni
  • Retiree

This article will describe how the combination of constituent groups will affect the storage and services of the individual.

Explanation

This table illustrates individual storage and services. This currently applies to new students and employees starting 9/25/2023. Existing students and employees will be transitioned to this according to the Google and Microsoft Service Changes timeline.

* Employees with the A5 license will receive 25 GB.  Employees with the A1 license will receive 5 GB from their department's storage. 

Services for users in more than one constituent group will work as follows

  • For services, users will receive the ALL services based on the constituent groups from the table above
  • For storage, users will receive the high storage from a single constituent group within each environment
  • For email, active employees and students will always use Exchange Online for email services even if they have access to Gmail due to another constituent group

  • As an example, Employee + Alumni:
    • These users will receive access to M365 employee services, the Google Drive employee service, and the Google Gmail alumni service
    • These users will receive at least 25 GB in M365 (assumes A5 license) and at least 5 GB in Google
    • Their email will arrive in their Exchange Online mailbox while they remain an active employee. They cannot change their routing.
  • As an example, Recent student + Alumni:
    • If you have recently graduated, you internally retain student status for up to 2 "major" semesters (Fall and Spring). You will receive the alumni service, but you will remain routed to Exchange Online.
    • Once those 2 semesters pass, you will no longer be considered a "Recent Student", and your alumni service will kick in. It will be an empty mailbox, and we do not migrate email for you. Therefore, it is your responsibility to ensure that any email and files are exported before you lose the Exchange Online service.
