Video Content Management - Publishing Videos in Canvas Media Gallery (for Instructors)


Introduction

Kaltura is the cloud-based video management system behind My Media and Media Gallery, which are Canvas LTI tools. Note that:

  • Kaltura appears in some places in My Media and Media Gallery and in the company's documentation and user guides.
  • Course Gallery is how you access Media Gallery in Canvas.

Instructions

Publishing in a Course’s Media Gallery

From Media Gallery

  1. Navigate to your Canvas site and click on Course Gallery in the course navigation menu.
  2. On the Media Gallery page, click + Add Media to go to the Add Media page.

  3. You can:
    • Choose media from My Media to add to the Media Gallery by clicking the box next to the video thumbnail or name, then click Publish.

    • You can only publish if you've entered a Description on the Edit Video page. If you don't have a description, you'll see the below error. Click Edit to add a description, then add the video again.

    • Click Add New to add upload media, record using your webcam or screen share, or link a YouTube video using the same procedure in Adding Videos to My Media.
  4. If you add new media, it will appear in both My Media and the Media Gallery where you added it. 

From My Media

  • It can be difficult to identify the correct course to publish to from My Media. Only course names (not terms) are listed and course names repeat semester after semester.
  • If you have this problem, Publish from Media Gallery instead. 
  1. Navigate to Canvas and click on My Media in the global navigation menu.
  2. In My Media, check the box next to each video you want to publish to a Canvas site's Media Gallery
  3. Click ACTIONS, then Publish
    • You can only publish if you've entered a Description on the Edit Video page. If you get an error, add a description and publish the video again.

  4. On the next page:
    • Choose to keep the video Private or choose to Publish it to a Media Gallery
    • Choose which Media Gallery to publish it to. If you're not sure, go to the site where you want to publish the video and publish from its Media Gallery instead
  5. Click Save

Allowing Students to Post to Media Gallery

Students can attempt to post videos to a course's Media Gallery. However, videos won't be published there until the instructor moderates and approves them. 

Moderating Student Submissions

  1. In the Media Gallery, click the Pending tab. Note: the pending tab will only appear when there are submissions in queue. 
  2. Watch the videos. 
  3. For each video, click Approve or Reject. Or, check the box next to multiple videos, and click Approve or Reject at the top of the screen.

  4. Confirm your selection in the popup. 

Allowing Students to Publish without Moderation

  1. Edit the Media Gallery settings: Next to Media Gallery, click the Settings icon -> Edit.

  2. On the Edit Media Gallery screen, next to Options, uncheck Moderate content.

Allowing Students to Download Videos

By default, students cannot download Kaltura's videos. To allow downloads: 

  1. Edit the video. In My Media or Media Gallery, click the pencil next to the video name. Or, click a media thumbnail or title to go to the video, then click Actions -> Edit
  2. Click the Downloads tab, check Source and Save. Students can download videos following the instructions in Video Content Management - Using My Media and Media Gallery (for Students).

Using Playlists to Organize Media Galleries 

By default, Media Gallery videos appear in reverse-chronological order. To organize, categorize, and sequence your videos in Media Gallery, use Playlists

  1. Add videos to a course's Media Gallery
  2. In the Media Gallery, click Settings, then Edit.

  3. On the Edit Media Gallery page, click the Playlists tab and click + Create Channel Playlist

  4. Enter the playlist title and description, then click Create

  5. Under the Add Items To Your Playlist column, click the plus (+) sign next to the videos you want to add to the playlist. 
    • Drag and drop videos in the Playlist column to reorder them.
    • Click the three dots on a video to pull up the option to remove it from the playlist if you added something incorrectly.

  6. When you're done, click Go to Media Gallery, then click Save.
  7. In the Playlists tab, you can edit, delete, and drag and drop Playlists to reorder them.

  8. Your Playlists will show on the Media Gallery home page.

Removing videos from Media Gallery

***DO NOT click ACTIONS -> DELETE. Doing so will permanently delete them from My Media. You can only delete your own videos, not any ones else's.***

  1. Go to your Media Gallery and then click the tab with the number of media you have. How you remove videos from Media Gallery depends on your view:
    • In the Grid view, hover over the thumbnail and click the [...] more icon. Then click the X

    • In the Detailed view click the X at the top right of the video description.

    • In the Collapsed view click the + next to the video name, then click the X

  2. Confirm you want to remove the video, and it will be removed from that site's Media Gallery. It will still be in My Media

Unpublishing Videos from My Media

Videos are automatically published if they're added to a Media Gallery, embedded in a Page or Module, or shared online. To unpublish a video: 

  1. Click the Published notification in My Media. You'll see a list of where the video is published.

  2. Click the box next to the video and then Actions -> +Publish

  3. On the next page, check Private. You'll see where the video will be removed. Save

  4. You'll see a warning that the video will be unpublished from all Media Galleries. Confirm the action by clicking Save
