Collecting Feedback for Courses Not in SPOT


Introduction

Student Perceptions of Teaching (SPOT) Evaluations are run using Course Evaluations & Surveys (CES), formerly EvaluationKIT, an external tool that is on Canvas.

Using Paper Evaluations via DataLink Opscans

  1. Download a copy of the SPOT standard questions: SPOT_Standard_Questions-1.docx.
  2. Add questions your department requires and any other questions you'd like to include. Save.
  3. Acquire Opscan forms from your department. Most departments keep Opscan forms in stock. See also Purchasing DataLink Answer Sheets.
  4. Distribute your evaluations and Opscan forms. Instruct students NOT to record their Student ID numbers. Have a student collect the completed forms for you.
  5. Use a DataLink scanner to score the forms. See Test Scoring - How to Use DataLink Scanners and Upload Grades to Canvas.

Using Online Evaluations via QuestionPro

  1. To access QuestionPro, go to the Virginia Tech QuestionPro page.
  2. Create your survey using the SPOT standard questions and questions you and your department add.
    1. Download a copy of the SPOT standard questions: SPOT_Standard_Questions-1.docx.
    2. Add questions your department requires and any other questions you'd like to include.
  3. Create the Survey in QuestionPro.
    1. Go to QuestionPro at the Virginia Tech QuestionPro page.
    2. Click + Add Folder to add a place for SPOT surveys.
    3. Click + New Survey and enter a Survey Name.
      • If you'd like to use an existing survey, go to that survey and create a copy by clicking on the three dots on the right side.
    4. Enter your questions using the QuestionPro question editor. See QuestionPro Help Center - Add Questions for help.
    5. Click Save.
  4. Assemble a student list and send the survey.
    1. Get a list of student email addresses from Banner.
    2. Create and manage the email list for the survey. Enter student email addresses, and optionally names, into the template provided and save it as a CSV file before uploading the file on QuestionPro.

    3. Go to the survey you created for SPOT. Click Distribute.
    4. In the Compose Email box, next to To: select the email list you just created.
    5. Edit the email template. An example email is below:
      Your feedback is important and highly valued! Instructors use it to improve teaching methods and course content. Departments use it for faculty development activities, decisions about promotion and tenure, and faculty evaluation. Aggregated results will be shared with instructors after grades have been submitted for the term. Instructors will not be able to identify which responses belong to which students unless you provide self-identifying information in one of the open-ended items.
    6. Send the email.
  5. Analyze results. In the project you made for SPOT:
    1. Click Analytics to view the Analytics Dashboard.
    2. See QuestionPro Help Center - Survey Dashboard for ways to analyze the data.
