Background on My Media and My Gallery in Canvas
What are My Media and Media Gallery?
- My Media and Media Gallery let you integrate videos in your Canvas course sites.
- My Media and Media Gallery appear on all Canvas Course Navigation Menus.
- My Media can also be accessed through video.vt.edu (only instructors can access video.vt.edu).
My Media in Canvas and My Media at video.vt.edu is your private area where you can manage, view, and edit all your videos. The My Media link in all Canvas course menus goes to the same private video storage area. My Media will contain all of your:
- Echo360 videos were migrated to My Media.
- If videos are in a Canvas site's EchoCenter, they'll also appear in that site's Media Gallery.
- WebEx recordings were migrated to My Media.
- Zoom Meeting recordings saved to the Zoom cloud are saved in My Media within one day.
- Videos you upload will appear in My Media and/or Media Gallery a few minutes after upload.
- Faculty and staff can access My Media at video.vt.edu.
Media Gallery in Canvas hosts material shared in a Canvas course. You can:
- Access and reuse Echo360 videos that were automatically moved to Kaltura.
- Select which videos from My Media to share in Media Gallery.
- Upload a video directly to a Media Gallery.
Why use My Media and Media Gallery?
- Storage is unlimited: You and your students can upload as many videos to My Media and Media Gallery as you want. You and your students' videos won't contribute to Canvas' 5 GB storage limit!
- Captioning is free and easy: You can caption any video using automatic speech recognition software. Later, you can search the video captions for key terms and watch only that part of the video.
- Powerful analytics: You can see who watched which videos and how much they watched.
- Your old content is there: Your Echo videos and WebEx recordings will be migrated to My Media and Media Gallery for you.
- Your Zoom meetings are there: Zoom Meeting recordings saved to the cloud will automatically appear in My Media. The meeting host can keep the recording private or publish it to a Canvas site.
- You can use the same videos in every course: No more copying video versions between Canvas courses. Instead, link the same video stream to as many courses as you want.
- You can share videos on the Internet: Unlike Canvas videos, you can make videos in My Media and Media Gallery available on the Internet.
What is Kaltura?
Kaltura is the cloud-based video management system behind My Media and Media Gallery. "Kaltura" appears in some places in My Media and Media Gallery and in the company's how-to guides.
Accessing My Media and Media Gallery
Use Google Chrome when working in Canvas. Other browsers might work, but Virginia Tech's testing, support, and documentation are targeted at Google Chrome users.

Show/hide My Media and Media Gallery in Canvas
Like other Canvas tools, you can show and hide My Media and Media Gallery on a Course Navigation Menu. See Canvas documentation: How do I manage Course Navigation links?
My Media at video.vt.edu (faculty and staff only)
- For teaching and learning videos, you should use My Media and Media Gallery in Canvas.
- For other videos, faculty and staff can access My Media at video.vt.edu.
- Faculty and staff go to video.vt.edu and click Guest -> Login. Log in with your PID and PID password.

- Click your name, then My Media.

- Follow instructions for My Media in Canvas.
Adding Videos to My Media
If there are multiple teachers in a course, they need to be added as a collaborator to the video before they can edit the video. To add them as a collaborator, see Add Collaborators.
- Log into Canvas and click My Media on the Global Navigation Menu.
- Click Add New and then click:
- Media Upload to upload a video from your computer.
- Express Capture to record yourself.
- YouTube to link a video from YouTube to My Media (requires video URL).
- Kaltura Capture to download Kaltura’s recording software and use that to make a video.
- Video Quiz to make a quiz video (described in the Making Video Quizzes section below).
Express Capture, Media Upload, and Kaltura Capture are described in this section.
Record and add webcam videos
- In My Media, click Add New -> Express Capture.

- Your browser might ask for permission to access your camera and microphone. Allow access to continue.
- The webcam recorder will open. Click the red button to start recording. Click the white square to stop recording.

- Click Use This. The video will be uploaded.
- Add video details. You must enter a video name and description. Scroll down and click Save.
Upload a video from your computer
- In My Media, click Add New -> Media Upload.
- Click +Choose a file to upload or drag and drop a file into the box.
- Browse for the video on your computer and click Open.
- The video will begin uploading and you’ll see a status bar.
- When the video is finished uploading, on the Upload Media page, you:
- MUST enter a Description to be able to publish the video.
- CAN change the video Name and other details.
- Scroll down and click Save.
- Go back to My Media by clicking it on the Course Navigation Menu or by clicking Go To My Media next to the save button.
Re-upload videos
- In My Media, navigate to the video you want to replace.
2. To the right of the video, click the pencil icon to edit it.
3. On the Edit page, click Replace Video.
4. Click Choose a file to upload and navigate to the video file on your computer.
- Wait for the video to upload and be processed by Kaltura.
Create a video with Kaltura Capture desktop software
Kaltura is the software company behind My Media and Media Gallery. The Kaltura Capture desktop software is only available to licensed Kaltura users. So, you can only download it while logged in to My Media.
- Log into Canvas and click My Media on the Global Navigation Menu.
- In My Media click Add New -> Kaltura Capture (if you already have Kaltura Capture, it will launch on your computer).

- If you haven't downloaded and installed the Kaltura Capture desktop software, it will prompt you to do so. Choose the Windows of Mac version.
- The software will be download to your computer. Save the file, then double click it to start the Kaltura Capture Setup Wizard to install it.

Videos recorded with Kaltura Capture are automatically uploaded to My Media. To find the version saved on your computer, go to:
- MAC - /Users/{Local Computer USERNAME}/Library/Preferences/Kaltura
- PC - C:\Users\{Local Computer USERNAME}\AppData\Local\Kaltura

Finding Zoom Cloud Recordings
Any Zoom Meetings or Zoom Webinars you recorded to the cloud will automatically appear in My Media on Canvas within a few hours of the meeting.
- If the Zoom Meeting had more than one video stream (video of speaker & video of attendees), each video stream will create a separate Kaltura video.
- The version of the recording in the Zoom Cloud will be retained for 30 days. The version in My Media will be retained indefinitely. So, link and share Kaltura's version.
- During times of high demand, Zoom Cloud recordings can take up to two days to appear in My Media.

FERPA information on class recordings
The Family Educational Rights and Privacy Act (FERPA) prohibits the release of personally identifiable information of a student. Faculty may use recorded lectures that identify a student, such as names viewable in a zoom session or student’s presenting for a portion of the course, only if they are shared through Canvas ONLY with that course section. If the lecture recording contains any student's image or information, it cannot be reused outside of their course section.

Publish in a course’s Media Gallery
From Media Gallery
- In Media Gallery click the tab with the number of media you have (below, it says 0 Media) and then click + Add Media. You'll to go the Add Media page.

- You can:
- Choose media from My Media to add to the Media Gallery by clicking the box next to the video thumbnail or name, then click Publish.

- You can only publish if you've entered a Description on the Edit Video page. If you don't have a description, you'll see the below error. Add a description and add the video again.

- Click ADD NEW to add upload media, record using your webcam or screen share, or link a YouTube video using the same procedure in Adding Videos to My Media
- If you add new media, it will appear in both My Media and the Media Gallery where you added it.
From My Media
- It can be difficult to identify the correct course to publish to from My Media. Only course names (not terms) are listed and course names repeat semester after semester. If you have this problem, Publish from Media Gallery instead.
- In My Media, check the box next to each video you want to publish to a Canvas site's Media Gallery.
- Click ACTIONS -> Publish.
- You can only publish if you've entered a Description on the Edit Video page. If you get an error, add a description and publish the video again.

- On the next page:
- Choose to keep the video Private or choose to Publish it to a Media Gallery.
- Choose which Media Gallery to publish it to. If you're not sure, go to the site where you want to publish the video and publish from its Media Gallery instead
- Save.

Allow students to post to Media Gallery
Students can attempt to post videos to a course's Media Gallery. However, videos won't be published there until the instructor moderates and approves them.
Moderate student submissions
- In the Media Gallery, click the Pending tab. Note: the pending tab will only appear when there are submissions in queue.
- Watch the videos.
- For each video, click Approve or Reject. Or, check the box next to multiple videos, and click Approve or Reject at the top of the screen.

- Confirm your selection in the popup.
Let students publish without moderation
- Edit the Media Gallery settings: Next to Media Gallery, click the Settings icon -> Edit.

- On the Edit Media Gallery screen, next to Options, check Moderate content.
- Media will not appear in the Media Gallery until approved by the gallery manager.
- Click Save.
Allow students to download videos
By default, students cannot download Kaltura's videos. To allow downloads:
- Edit the video. In My Media or Media Gallery, click the pencil next to the video name. Or, click a media thumbnail or title to go to the video, then click Actions -> Edit.
- Click the Downloads tab, check Source and Save. Students can download videos following the instructions in Video Content Management - How Students Use My Media and Media Gallery.

Using Playlists to organize Media Galleries
By default, Media Gallery videos appear in reverse-chronological order. To organize, categorize, and sequence your videos in Media Gallery, use Playlists.
- Add videos to a course's Media Gallery.
- In the Media Gallery, click Settings -> Edit.

- On the Edit Media Gallery page, click the Playlists tab.
- Click Create new -> Manual playlist.

- Enter the playlist details, then click the arrow next to Add Media.

- Click Add next to the videos you want to add videos to the Playlist.
- Drag and drop videos in the New Playlist column to reorder them.
- Click the X on a video to remove it from the Playlist.

- When you're done, click Save.
- In the Playlists tab, you can edit, delete, and drag and drop Playlists to reorder them.

- Your Playlists will show on the Media Gallery Home page.

Remove videos from Media Gallery
Remove videos via Media Gallery
***DO NOT click ACTIONS -> DELETE. Doing so will permanently delete them from My Media. You can only delete your own videos, not any ones else's.***
- Go to your Media Gallery and then click the tab with the number of media you have. How you remove videos from Media Gallery depends on your view:
- In the Grid view, hover over the thumbnail and click the [...] more icon. Then click the X.

- In the Detailed view click the X at the top right of the video description.

- In the Collapsed view click the + next to the video name, then click the X.

- Confirm you want to remove the video, and it will be removed from that site's Media Gallery. It will still be in My Media.
Unpublish videos from My Media
Videos are automatically published if they're added to a Media Gallery, embedded in a Page or Module, or shared online. To unpublish a video:
- Click the Published notification in My Media. You'll see a list of where the video is published.

- Click the box next to the video and then Actions -> +Publish.

- On the next page, check Private. You'll see where the video will be removed. Save.

- You'll see a warning that the video will be un-published from all Media Galleries. Confirm the action by clicking Save.

Publishing in Pages and Modules
Add videos to Modules
Embed the video in the Page, and link to the Page from the Module. See How do I add assignment types, pages, and files as module items? for instructions.
Add videos to Pages
Embedded media can slow down page load times. If you want to embed more than a handful of videos in a page, consider Playlists instead.
To embed a video in a page:
- Edit the Canvas Page. Click where you'd like to add the Kaltura's version video.
- In the Rich Content Editor click the Kaltura button.

- The Embed Kaltura Media window will open. Go to My Media.
- Search for the video: enter search terms, and use filter and sort functions.

- Click Select next to the video you want to embed. Or, click the down arrow to choose the size of the embedded video.
- The video will appear in the page. Click Save or Save & Publish.
- Canvas will save the page and reload it in view mode. If you're having trouble adding a video, make sure that it has the required video description. Click Edit next to the video thumbnail or title in My Media and add a description. When you are ready to publish, click Publish.

Add playlists to Pages
- Create a playlist. See Using playlists to organize Media Galleries for more information.
- In Media Gallery click Settings->Edit.
- Click the Playlists tab next to details.
- Scroll to the playlist you want to embed and click Embed in the right column.

- The Embed Playlist window will open, select the layout and copy the copy to your clipboard.

- Click Pages in the course navigation menu then click the page you want to embed the video in or add a new page. See How do I create a new page in a course? for more information.
- Click the HTML Editor icon and paste the code into the text box.


- Click Save or Save & Publish
Publish on the Internet
Add videos to a website
- In My Media or Media Gallery, click a media thumbnail or title to go to the video.
- Scroll down and click the Share tab. The video's Embed code will appear and be highlighted. You can choose the player skin, size, and whether it will resize.

- Copy the Embed code and paste it into a web page.
Share links to videos
- Link sharing can only be done through video.vt.edu.
- Only faculty and staff have access to video.vt.edu.
To share a link:
- Log in to video.vt.edu with your PID and password. Go to video.vt.edu, click Guest then Login.

- Click your name, then click My Media.
- Click the media you want to publish.
- Go to Actions then click Publish.

- Check the button for Unlisted - Media page will be visible to anyone with a link to the page. The link is now sharable.
- If you see the error Complete all the required fields and save the entry before you can select to publish it to categories or channels, click Edit, enter a video description, and save. Then click Go to Media and publish again.
- Click Share and copy the link. Share it with your viewers.

Setting Video Assignments
You can have your students create videos and upload them to My Media so they don't take up space in your Canvas site. Students submit an online assignment through Canvas' Rich Content Editor and link in the video from their My Media.
Set video assignments
- In your Canvas course, click Assignments on the Course Navigation Menu.
- Click + Assignment to add a new assignment.

- Write an assignment name. In the Rich Content Editor (the text box) add assignment instructions. Include instructions on how students submit video assignments, or link to Video Content Management - How Students Use My Media and Media Gallery: Submitting Assignments.
- For Submission Type, choose Online. Then check Text Entry, Media Recordings, and/or File Uploads. Students will enter their assignments in the Canvas Rich Content Editor, where there's a button to add videos from My Media.

- In order for students to submit recordings from their Mi Media or Kaltura Capture, then Text Entry must be enabled so students can embed their video. Kaltura videos cannot be submitted through Media Recordings.
- Set other assignment parameters like Points, Assignment Group, and Due Date. See How do I create an assignment? for general instructions on Canvas' Assignments tool.
- Click Save or Save and Publish.

Reuse videos from a past course
Reuse a set of Media Gallery videos for a new site
You can move any set of videos from one site's Media Gallery to a new site:
- Go to the new site's Media Gallery.
- Click click here in the import content notification.
- The import content notification does not appear when media has already been published to the course.

- Choose the site whose Media Gallery contents you want to import and click Import.

Reuse videos embedded in Modules and Pages
If the videos you embedded link to Kaltura's videos, simply copy content from one Canvas course to another.

Finding Videos
Change content display
In My Media or Media Gallery, click one of the three icons to the left of Add New to change the display.
- The icon on the left is grid view, only an option in Media Gallery, it shows the thumbnail with the title and duration over it.
- The icon in the middle is detailed view, showing video thumbnails, likes, and comments.
- The icon on the right is collapsed view, showing only the video title and who created it.

Filter content
In My Media or Media Gallery, you can filter by publish status, media type, and whether or not you own the video.
- In Media Gallery click Filters and choose variations of Media Type, Ownership, Captions, Duration, Creation Date, and Last Update Date.
- Click More Filters at the bottom to filter for College, Department, Start Date/Time, and Free Text.
- Clear filters by clicking Clear All in orange at the bottom.
- In My Media click Filters and choose between Media Type, Publish Status, Ownership, Captions, Duration, and Creation Date.
- Click More Filters to filter by Last Update Status, College, Department, Start Date/Time, and Free Text.
- Clear filters by clicking Clear All in orange at the bottom.

Search for content by name, tags, and captions
- Next to the magnifying glass under My Media or My Gallery, click Search My Media and type in search term(s).
- Kaltura will search the video names, any tags, and the captions for your search terms and automatically return search results.
- For Zoom Meetings recordings, search for meeting name and date (it's a good idea to give each Zoom Meeting a unique name).
- If your search returned too many videos, you can filter and refine your search results.
- After entering in the search field, you can click on Search In... to define where you want it to look.

Viewing Videos
Play regular videos
Regular videos only have one video stream.
- In My Media or Media Gallery, browse for the media entry and click the video thumbnail or title. You'll go to Kaltura's media player.
- At the bottom of the player, from left to right, are buttons for play/pause, volume control, captions, playback speed, and full screen.

Play lecture capture videos
Lecture capture videos and recordings from Connected Classrooms have multiple video streams. They can include a video of the instructor, a video of the instructor's teaching content (like PowerPoint slides), and/or a video of the classroom. You can customize playback to highlight whatever video stream you want.
Play videos
- In My Media or Media Gallery, browse to the media entry and click the video thumbnail or title. You'll go to Kaltura's media player.
- At the bottom of the player, from left to right, are buttons for play/pause, volume control, captions, playback speed, and full screen.
- The default layout for multiple video streams is side-by-side.
- Click the Play button in the center of the screen or in the bottom left of the media player.

Change layout
- Hover over the media player. Click on the white box with a line through the middle and the change layout options will appear next to it.
- Click the top option to switch layouts between (in order, left to right) Single View, Picture in Picture, and Side by Side.

- If you don't see the video stream you expected when in Picture in Picture or Single View, for example, the content stream with teaching materials is minimized:
- Hover over the video and click the double arrows in the top right.
- The videos will switch places.


- In the Picture in Picture layout you can drag and drop the small window and move it around.

Switch content
If the lecture capture has three or more video streams, you can choose which two to display.
Switch content:
- Click the Content Selection icon. It will only appear if there are more than two video streams.

- Video streams that aren't being shown will appear.
- Drag the video stream you want to play and drop it on top of one of the streams playing back. It will replace the stream you dropped it on.


Change playback rate
- In My Media or Media Gallery, browse for the media entry and click the video thumbnail or title.
- Click Play in the media player.
- At the bottom right of the media player, click 1x and choose from .5x to 2.5x. The video will immediately switch to that playback rate.

Search video captions
If a video has captions, you can search them for key terms and find where in the video the terms appear.
- From My Media or Media Gallery, click a video thumbnail or title to go to the video.
- Enter a search term in the Search in video search box (only displayed if the video has captions) under the media player. A result is displayed for each point in the video where the caption text appears.
- In the results, click a caption. The video will jump to the section where the caption text appears.
- To clear the search text, click the x icon.

Captioning Videos

About captioning
Restrictions
- Captions can only be ordered for videos VT users added to My Media and Media Gallery themselves.
- Video owners and co-editors can order and edit captions.
Machine (automatic speech recognition) captions
Machine captions are generated using automatic speech recognition (ASR) software and are 70-90% accurate.
Machine captions are free for all Virginia Tech affiliates’ media. They take about 30 minutes to generate, but the exact processing time depends on video length and number of captioning requests. Captions can be edited for accuracy in My Media or Media Gallery.
- All Zoom cloud recordings copied to My Media have automatic machine captions as of December 21, 2020.

Professional (human) captions
Professional captions are human-generated and are 99% accurate.
Central funds are available for professional captioning of instructional materials for (1) students with a documented need, (2) for videos that will be used for multiple semesters, and (3) videos less than 45 minutes in length. Centrally-funded professional captioning requests must be approved by the Accessible Technologies group in Technology-enhanced Learning and Online Strategies. Approval takes one business day. After approval, professional captions are produced in five business days or fewer.
Professional captions can also be purchased by departments at the following rates. Turnaround times begin after TLOS and the department exchange purchasing information:
- $1.10/minute - best-effort turnaround (5 business days or fewer)
- $1.21/minute - 48 hour turnaround
- $1.37/minute - 24 hour turnaround
Order captions using the Professional Captions Request Form.
Order machine or professional captions
Starting Dec. 21, 2020, all Zoom cloud recordings, which are automatically copied to My Media, will have machine (automatic speech recognition) captions which can be edited or hidden.
- In My Media or Media Gallery, browse for the media entry and click the video thumbnail or title.
- From the Actions drop-down, click +Caption & Enrich.

- Scroll down to Order Captions & Enrichment Services. Select Machine or Professional.

- After you submit the request, a pop-up will say that your request has been received.

- Check caption order status under Existing Requests.

- You will receive an email when your captions are ready.
- If captioning failed, you can re-request captions.
Edit captions
Machine captions are generated with automatic speech recognition software and are 70-90% accurate. Video owners and co-publishers can edit captions in Kaltura's captioning editing tool.
- Video owners and co-editors can order and edit captions. Owners can delegate ordering and editing captions by adding collaborators to their media.
- See also Hide captions.
- In My Media or Media Gallery, browse to the media entry and click the video thumbnail or title.
- From the Actions drop-down, click +Caption & Enrich. You'll see a list of captions for that video under Existing Requests.
- Click the pencil icon next to the caption file you want to edit. The Closed Captions Editor will open.

- The Closed Captions Editor has:
- The video on the right.
- The caption edit box on the left.
- Add speaker and search captions at the top.

- To edit captions and timing, hover over the caption then click on one of the text boxes.
- Start time.
- End time.
- Edit caption.
- Add new caption.
- Delete caption.

- Click Save to publish the edited captions and sync them with the video.

- Refresh My Media, play the video, and check your work.
Hide captions
if a video has captions but you don't want them to show, you can hide them.
- Go to a video My Media or Media Gallery and click the Edit (pencil) icon.
- Click the Captions tab.
- Next to the captions file, click the Don't Show On Player (video player) icon. Changes are saved automatically.

Download captions
Captions exist in a separate SRT file and don't automatically download/upload with the associated video.
- To play a video with captions on your computer, download the captions file and put it in the same folder as the video. Most video players will recognize and include the captions.
- To upload a video and captions to a platform like YouTube, download the captions then follow the platform's instructions.
To download captions:
- Go to a video My Media or Media Gallery and click the Edit (pencil) icon.
- Click the Captions tab.
- Next to the captions file, click the download icon.
- To play the video and captions on your computer, put the captions file in the same folder as the video.
- To upload the captions to a video hosting platform, follow the platform's instructions. YouTube's instructions are here: Add subtitles and captions.
View transcripts
- Captions appear on screen and are synced with the video.
- Transcripts have the same words, but in a separate, searchable document.
- From My Media or Media Gallery, click a video thumbnail or title to go to the video.
- Under your video, click Show transcript.

- View the transcript or copy and paste it into another program.
Search transcripts
If a video has captions, it also has a searchable transcript where you can search them for key terms and find where in the video the terms appear.
- Captions appear on screen and are synced with the video.
- Transcripts have the same words, but in a separate, searchable document.
- From My Media or Media Gallery, click a video thumbnail or title to go to the video.
- Click the magnifying glass to enter a search term in the Search in video search box (only displayed if the video has captions) under the media player. A result is displayed for each point in the video where the caption text appears.

- In the results, click some text. The video will jump to the section where the text appears.
- To clear the search text, click the x icon.

Comments are enabled by default on Media Gallery videos. To disable comments,
- In Media Gallery, click edit.

- Next to Options, clear the check box next to Enable comments in Media Gallery and Save.

Comments are private by default to a single Media Gallery. If you add the same video to another course's Media Gallery, the comments don't go with it. To change that:
- In Media Gallery, click the edit icon.

- Next to Options, clear the check box next to Keep comments private to Media Gallery and Save.

- In My Media or Media Gallery, click a media thumbnail or title to go to the video.
- In the Comments tab under the media player, enter a comment in the Add a Comment field and click Add.
- Your comment is displayed in the Comments tab.

- In My Media or Media Gallery, click a media thumbnail or title to go to the video.
- If comments were entered, they are displayed in the Comments area under the media metadata.
- When a limited number of comments are displayed, click Load more comments to display additional comments.
Reply to a comment
- In My Media or Media Gallery, click a media thumbnail or title to go to the video.
- In the Comments tab under the media player, hover over a comment and click Reply.
- In the Add a Comment field, enter a reply and click Add.
- Your reply is displayed under the comment.

Delete a comment
You can only delete a comment or reply if:
- You added the comment or reply.
- You are the media owner.
Deleting a comment also deletes replies to the comment.
To delete a comment:
- In My Media or Media Gallery, click a media thumbnail or title to go to the video.
- In the Comments tab under the media player, hover over a comment or reply and click Delete.
- Click Yes to confirm deletion.

Editing Videos
Edit videos in My Media
My Media includes an online video-editing suite. For information and instructions, see:
Delete videos
- There is no reason to delete a video from Kaltura. Space is unlimited, and videos in My Media are private.
- Deleting videos from Kaltura is permanent. No one, neither Kaltura tech support nor VT tech support, can restore a video once it's deleted.
- Videos must be unpublished before you can delete them.
- If the video is published, unpublish it.
- In My Media, click the trash can next to the video title.
- On the popup, click Delete to confirm.

Downloading Videos
By default users cannot download Kaltura videos.
Allow downloads
- Only video owners can enable download.
- If you don't want students to download a published video, disable download when you are finished downloading your copy.
- Edit the video. In My Media or Media Gallery, click the pencil next to the video name. Or, click a media thumbnail or title to go to the video, then click Actions -> Edit.
- Click the Downloads tab, check Source and Save. Students can download videos following the instructions in Video Content Management - How Students Use My Media and Media Gallery.

Download
- From My Media or Media Gallery, click a video thumbnail or title to go to the video.
- Click the arrow next to Details, then Download. If you do not see Download, this is because download isn't enabled. If you own the video, can enable download (see the previous section).

- A table of download file options appears. Click Download next to the file you'd like. Click the download button under Actions.

Collaborating with Other Instructors
You can collaborate with others on your videos. If you add collaborators, you can decide if they can edit videos, publish them, or just view them.
- To share a video with another instructor, you must add them as a collaborator in My Media - even if they're in your Canvas site.
- Co-owned videos will appear in all owners' My Media.
- Edits made by any owner will affect the video.
If you're going to let collaborators edit videos, back up the original version by making a copy.
Copy a video
Before you add collaborators, make a copy of your video to keep it for yourself. Storage in Kaltura is unlimited, so don't worry about using up memory.
- In My Media, click the media thumbnail or title to go to the video.
- Click Actions -> Launch Editor.
- At the top right of the screen, click Save a Copy.
- Enter a title for the new media, if desired.
- Click Create.

Add collaborators
- In My Media, click the media thumbnail or title to go to the video (you can't edit videos once they're published in a Media Gallery).
- Click Actions -> Edit.
- Click the Collaboration tab.
- Click + Add Collaborator to add someone else to the video.

- Enter their name or PID. Kaltura will suggest matches from among the Virginia Tech community. Choose the correct collaborator.
- Choose whether to let the collaborator edit the video (Co-Editor), just publish it (Co-Publisher), or just view it (Co-Viewer).
- If you let a collaborator edit your video, make a copy for yourself first.
- Click Add.

- Your collaborators will appear under Media Collaborators. You can remove or edit their permissions at any time.
Find shared videos
If you share a video with a collaborator, they'll be able to find it in their My Media. Collaborators must ensure their filters in My Media are set properly to see shared content.
- Go to My Media. By default, you will see videos by Any Owner.
- Click Filters. If you don't see Filters, click View Media I Own.
- In the filter popup, change the filter from Any Owner to Media I Own, Media I Can Publish or Media I Can Edit.

- You'll see videos where others added you as a collaborator.
- To see your own videos, click Filters->Media I Own.
Change owner
- In My Media, click a media thumbnail or title to go to the video (you can't edit videos once they're published in a Media Gallery).
- Click Actions -> Edit.
- Click the Collaboration tab.
- Click Change media owner to add someone else to the video.
- Changing the media owner will remove the video from My Media. Make a copy of the video for yourself before changing the owner.
- Enter their name or PID. Kaltura will suggest matches from among the Virginia Tech community. Choose the correct collaborator.
- Click Save.

Viewing Media Gallery Analytics
Instructors can use Media Gallery analytics to see which students are engaged which videos or which sections of videos. Instructors can view analytics on the Analytics page, and they can run media analytics reports.
View analytics
- In the Media Gallery, click the settings icon in the top right corner and then Analytics.

- You'll go to the Media Gallery analytics page's Dashboard tab, where you can see media items, popular videos, engaged users.
- Click the Media tab to see a list of media, contributors, and how much the media was played by others.
- Click Load More at the bottom to see more results.
- Click the arrow to the left of the Media Title column to show more details.

- Click the Engagement tab to see a detailed list of a list of students and their interactions with videos.
- Click Load More and the arrows next to student names to show more data and details.
- You can download separate media viewing reports for each students and media item by clicking the save file or printer icon next to the analysis.

- Click the Contribution tab to a list of who contributed what types of media to the site. The Legend lists the types of media and their corresponding color.

Download analytics reports
- To export any report to CSV, go to the tab for the report (Media, Engagement, or Contribution) and click Export to CSV.
- To load a printable version of the report, click Printable Version.

Troubleshooting
My Media and Media Gallery not available/not working
Kaltura, the platform behind My Media and Media Gallery in Canvas, is experiencing a surge in demand causing intermittent outages. The company is rapidly increasing its processing capacity. However, My Media and Media Gallery may continue to have brief periods of unavailability.
Until these issues are fully resolved, we suggest the following actions:
- If My Media or Media Gallery won’t load, check Kaltura’s Service Status. When the status is green, try again.
- If you’re recording in Zoom or Kaltura Capture, plan to record and upload your video at least 24 hours before you want to share the recording with students.
- Try to upload videos late at night or early in the morning, when there is less demand on Kaltura’s systems.
- If a Kaltura Capture upload is still running after 12 hours, cancel it and try again.
- If you cannot upload it again, upload the MP4 of the recording from your hard drive. See: Create a video with Kaltura Capture desktop software.
- Give students a few days to watch videos or take video quizzes. If Media Gallery is unavailable, students can try again later.
- If you need to share a Zoom recording immediately, share the Zoom Cloud version. Remember that recordings are only saved in the Zoom Cloud for 30 days, but are saved indefinitely in My Media.
Publishing a video from My Media, but can't find the correct course because they have the same name
If you are in My Media and want to publish a video to a Canvas site's Media Gallery it can be difficult to identify the correct course because only course names (not terms) are listed and course names repeat semester after semester.
Instead of publishing from My Media, go to the course where you want to publish the video, click Media Gallery, and publish from there. See: Publish from Media Gallery.

Missing Lecture Capture video
- Wait at least 12 hours for the video to be transferred to Media Gallery.
- If you're the video owner / instructor, check your My Media area.
- If it's there, publish the video to the Media Gallery. Then go to step 4.
- If the video isn't in My Media, go to step 4.
- Go to 4help.vt.edu, log in, and click Get Help.
- Explain that your Lecture Capture wasn't published.
- Provide the course number, Canvas site URL, and video date.
- A Kaltura administrator will look into the problem.
Missing Zoom Cloud recording
Missing recording
- Make sure you're the meeting host. Only the host gets the recording in My Media.
- Make sure the meeting was recorded to the Zoom Cloud, and not locally on the host computer.
- Wait at least 24 hours for the video to be transferred to My Media.
If the Zoom cloud recording still does not appear in My Media, you can manually transfer it:
- Log in to Zoom at virginiatech.zoom.us.
- Click Recordings on the left-hand menu.
- Click More then Download next to the recording you want to download. See also:Cloud Recording Playback. If you don't see the recording:
- You recorded it to your computer. You can upload it from there. Follow Zoom: View recordings on your computer then go to the next step.
- You recorded it more than 30 days ago and the Zoom cloud version was deleted. It cannot be recovered.
- The Zoom recording failed and cannot be recovered.
- Upload the MP4 Zoom recording to My Media. See Upload videos from your computer.
Workaround
If you cannot upload the video and the need to share is urgent, you can share the Zoom recording URL while you troubleshoot. Zoom recordings are removed from the Zoom cloud after 30 days and the share URL will no longer be usable.
- Log in to Zoom at virginiatech.zoom.us.
- Click Recordings on the left-hand menu.
- Click Share next to the recording you want to share for sharing options and a share link.
Lecture Capture video missing slides/content
- Switch the playback content. See Switch content. Then go to step 3.
- If the content is missing from the content switcher, go to the next step.
- Go to 4help.vt.edu, log in, and click Get Help.
- Explain that your Lecture Capture is missing the content, or that the wrong content stream is playing by default.
- Provide the course number, Canvas site URL, and video date.
- A Kaltura administrator will look into the problem.

Can't upload to My Media
If you attempt to upload to My Media, but the upload fails or you get an error message or API error:
Video in My Media/Media Gallery doesn't play correctly
- Make sure you're using an updated version of Google Chrome.
- Make sure you aren't running script blockers. See Script Blocker Problems.
- Try to re-encode the video and re-upload. See: Re-encoding a video
- Go to 4help.vt.edu, log in, and click Get Help.
- Describe the problem.
- Provide the video name and location in My Media or Media Gallery.
Video in Modules won't play
To view a Kaltura video, instructors and students must log into Kaltura through Canvas. Login occurs when you click either My Media or Media Gallery, but not when you go directly to a video in Modules. Be sure to go to My Media or Media Gallery before watching videos in Modules.
Downloaded video won't play
- Check the file extension. If it's not .mp4, go to Downloaded video has wrong file extension below.
- Try to play the video in My Media. If it won't play, the file is likely corrupted. Try Re-encoding a video.
Downloaded video has wrong file extension
Zoom recordings transferred to My Media sometimes have the wrong file extensions, even though they are valid MP4 files. Instead of .mp4 the file extension will be a strange string, like .xryp, and you won't be able to play it.
To solve the problem, change the file extension to .mp4. See wikiHow: Change a File Extension.
Getting 3rd party cookie error
MacOS Catalina protects users from third party cookies, and will block you from watching videos in My Media and Media Gallery using Safari. To add the 3rd party cookies, go to https://corp.kaltura.com/, then go back to the video in Canvas.
Kaltura Capture not working on Mac OS Catalina
You will have to change the system settings to be able to run Kaltura Capture on the Mac OS Catalina
First stage:
- Go to system preferences.
- Click Security & Privacy → General.
- Unlock the security padlock.
- Click App Store and identified developers.
- Lock the security padlock.
Second stage:
- Back in system preferences, click Security & Privacy → Privacy.
- Unlock the security padlock.
- Click Camera.
- Enable Kaltura Capture.
- Go back to Privacy, click Microphone.
- Enable Kaltura Capture.
- Go back to Privacy, click Screen Recording.
- Enable Kaltura Capture.
- Lock the security padlock.
Kaltura Capture video not uploading
- Wait 24 hours for the video to upload and encode.
- If that doesn't work, try uploading again. In the Kaltura Capture desktop software, click Re-upload next to your video.
- Kaltura Capture version 4.2.78 has the re-upload button.
- If you don't see it, in My Media click Add New -> Kaltura Capture to trigger the update.
- Try to re-encode the video and re-upload. See: Re-encoding a video
- If that doesn't work, go to 4help.vt.edu, log in, and click Get Help.

Re-encoding a video
For help re-encoding, you can Schedule an Appointment with a TLOS Consultant.
- Download and install HandBrake.
- Go to HandBrake: Open Source Video Transcoder and click Download.

- Click the file in the lower left.

- In the Welcome to Handbrake Setup window, click Next to begin the installation.

- Review the License Agreement and click Next.
- Confirm the location of HandBrake in your computer and click Install.

- In the next window, click Finish.
- Once in HandBrake, open your file.

- Open the source video in HandBrake. You can select the source video when you first open HandBrake, or you can click the Open Source button to navigate to the video you're re-encoding.

- Use HandBrake's default settings, which will correctly re-encode files for Kaltura.

- Click Browse and select the output file name. This is either:
- At the top of the Handbrake window, under Destination File:
- At the bottom of the Handbrake window, labeled Save As.
- Name the file something different from the original one.

- Click Start Encode.
- Once the re-encode is complete, you can upload it to My Media.
Captions not displaying
Updates to web browsers security and privacy settings have led to users discovering issues with viewing captions on videos stored in My Media and Media Gallery. Chrome and Edge have more restrictive security settings, but Firefox or Safari can be used as a workaround to view captions.
- Playback the video in Chrome/Edge and click the CC icon on the player to check for captions.
- If there are no captions, under the video's title and description, click Actions, then Edit.
- Click on the Captions tab. Check for any captions files- if there are none, you may need to request captions for your video.
- Make sure the Show on Player icon is not turned off to allow it to be selected on the player.
- Click Back to Media Page to select the captions on the player.
- If captions still will not display, go to the next step.
- Check to see if Firefox or Safari has a second caption listed that functions.
- Under the video's title and description, click Actions, then Edit.
- Click on the Captions tab.
- If there is a second caption file available, you can click the Show on Player icon to allow it to be selected on the player.
- Click Back to Media Page to select the captions on the player.
