Managing Your Profile Visibility at Virginia Tech

Introduction

Virginia Tech maintains personal information about employees, students, alumni, and other affiliates in order to provide services and conduct university activities and business. Some of this information is regularly published in online resources as well as in print publications and is gathered from the Enterprise Directory. In order to protect your privacy, Virginia Tech provides you with ways to control the visibility of your information.

Visibility Information

Students

Since June 25, 2018, the address, phone number, and email of new and existing students has been suppressed in VT PeopleSearch by default. To change the visibility of your information, follow the instructions at the Displaying or Concealing Personal Information section of this page.

This confidentiality information applies to students that are currently enrolled or have been enrolled during the past year. The information also applies if you are also a student wage employee or have a graduate assistantship.

Important: If you are being stalked, harassed, or threatened, you need to contact the appropriate authorities immediately. Contact the Virginia Tech Police and the University Registrar immediately to get assistance.

Important: To prevent public information from appearing in the printed University Directory, requests for confidentiality must be processed during the first five days of fall term.

Employees

This information applies to your confidentiality options if you are:

Salaried Employees

If you are a salaried Virginia Tech employee, your work information (Virginia Tech address, phone number, and email address) will always display in the online white pages (VT PeopleSearch) and may be provided outside the university as well.

Regular Wage and Emergency Hire Employees

If you are a regular wage or emergency hire wage employee, only your work information (Virginia Tech address, telephone number, and email address) will display, regardless of whether you are enrolled in a class, and regardless of the setting of your confidentiality preference.

If you have an emergency situation, the Department of Human Resources can take special action to hide your work information when appropriate and necessary.

If no information displays about you, then check to see that your affiliations are correct.

Since November 6, 2005, all new employee VT Username are suppressed. If you were employed by Virginia Tech prior to this date, you have the option to suppress your VT Username. In addition to suppressing your VT Username, if you want to avoid exposure of your VT Username, you should create an email alias and set it as your preferred email address to be displayed in VT PeopleSearch.

Other Roles

Alums

The Virginia Tech Alumni Association handles current information for alums. Alums are not listed in VT PeopleSearch. For information about the Alumni Directory, go to the Stay connected: Update your contact information page, and click VISIT THE HOKIE PORTAL.

Retirees and Emeritus Faculty Members

Generally, retirees' information will not display in the VT PeopleSearch or other online white pages. You may, however, control the level of confidentiality regarding general inquiries. Emeritus faculty members may elect to have their information displayed in VT PeopleSearch by following the instructions in the Displaying or Concealing Personal Information section of this page.

Non-State Employees

Non-state employees are those individuals who are generally granted similar privileges as Virginia Tech employees but are on another payroll. Examples are ROTC faculty and employees of the Virginia Tech Foundation.

Virginia Tech PeopleSearch

Your ability to display or conceal your VT Username and email address in the online directory, Virginia Tech PeopleSearch, depends on your primary affiliation with the university.

If your VT Username is suppressed, to avoid exposure of your VT Username, you should create an email alias and set it as your preferred email address to be displayed in Virginia Tech PeopleSearch.

Displaying or Concealing Personal Information

Important: If you are being stalked, harassed, or threatened, you need to contact the appropriate authorities immediately: Students should contact the Virginia Tech Police Department and the University Registrar. Employees should contact the Virginia Tech Police Department and the Department of Human Resources.

If you are a student, your information will only display if you are enrolled for the current term. Since June 25, 2018, the address, phone number, and email of new and existing students has been suppressed in VT PeopleSearch by default.

With the exception of emeritus faculty, retirees and former employees are not listed in the Virginia Tech PeopleSearch; however, you may use these instructions to control the level of confidentiality regarding general inquiries.

If you are an alum, a student who is not currently enrolled, or a former student, you are not listed in the Virginia Tech PeopleSearch. However, you may use these instructions to permit or restrict confirmation of enrollment or degree information.

  1. Go to the Onecampus Web page.
  2. Near the top-right corner of the page, click Sign In.
  3. From the drop-down that appears, click Sign In.
  4. Type your credentials.
    1. In the Username text box, type your VT Username, which is the first part of your @vt.edu email address.
    2. In the Password text box, type your VT Username passphrase.
    3. Click Login.
    4. Follow the on-screen instructions to complete authentication with your second factor.
  5. If the page appears dark with text overlaid, click the page to dismiss the overlaid text.
  6. If any OneCampus announcements pop-up, after reading the text, click the appropriate button to dismiss the pop-up.
  7. To the right of the OneCampus logo, in the What would you like to do? search box, type: profile.
  8. On the keyboard, press Enter or Return.
  9. In the search results, click Confidentiality Options. A new tab or window will appear.
  10. For each item you want to change the visibility of, click the toggle to toggle from Hidden to Public, or from Public to Hidden.
  11. Your changes will be saved automatically, but it may take a few minutes for your confidentiality change to take effect.
  1. Important: If you conceal your VT Username, you should also create an email alias in order to avoid exposure of your VT Username. You can then choose that alias as your preferred email address to be displayed in the Virginia Tech PeopleSearch.
