Managing Data Visualizations in ServiceNow


Introduction

Reports/data visualizations are the building blocks of your data. Unfortunately, there is no easy way to transfer or change the owner of a visualization, but you can share them with others, and they can then create copies so that you can delete the originals. Use these steps to distribute your findings or manage your personal report list.

How to Share a Report/Data Visualization

  • From the All menu, Go to Platform Analytics > Libraries: Data Visualizations. Find and open your report.
  • From More Actions (three vertical dots in the top-right corner) select the Share option.

  • Select Users, Groups, or Roles to share. Grant the users, groups, or roles abilities to either view or edit the data visualization by choosing either the Add as viewer or the Add as editor button. You can allow the recipients to share this visualization by selecting the “Allow recipients to share” checkbox.

  • Make sure to save your changes: Click Confirm and then Save the report.

How to Copy a Report/Data Visualization

If you see a data visualization that you like but want to tweak it, you can make a new copy and then make the changes you need.

  • Open the data visualization you want to copy.
  • From the More Actions menu (three vertical dots) in the top-right corner select the Duplicate option.

  • Give your new data visualization a unique name so you don't get it confused with the original.

How to Delete a Report/Visualization

Only the owner or a system admin can delete a report.

  • Open the report you want to remove.
  • From the More Actions menu (three vertical dots) in the top-right corner select the Delete option.

  • ServiceNow will ask you to confirm—once you click Delete, it’s gone for good.
