Managing the Google Workspace Other storage category


Introduction

When reviewing your Google Workspace storage via https://drive.google.com/settings/storage, CAT (for organizational unit admins), or MyCAT (individual account holders) you might notice an “Other” category. This likely represents mobile device backups (ex., Android settings) or third-party mobile app data backups (ex., Whatsapp). The “Other” category is unique because it often includes data that admins cannot view or manage directly.

This storage goes against your quota within Google Workspace.

If you have access to drive, you can delete this data. To delete Other data go directly to https://drive.google.com/drive/u/0/backups. If that doesn't work

  1. Go to drive.google.com
  2. Click on Storage within the left navigation menu
  3. Click the "Backups" link at the top right.

"Other" data may also be stored in other areas of your account, especially for backups. We cannot provide directions for all phones out there, but here is some guidance that might help. 

Switch to another account for backups

  1. On your Android device, open your device's Settings.
  2. Tap Google and then All services. (depending on your phone model and OS, this may be at the top under your name + Google services and preferences, then choose All services tab)
  3. Under “Backup and restore,” tap Backup and then Account storage.
  4. Tap the account that you want to use for backups (do not choose your vt.edu account).

Delete unused or unnecessary backups

If the backup is no longer needed (e.g., for an old phone), you may delete it. Be cautious—some apps only offer a “Delete All Data” option. Make sure you’ve transferred anything important first.

Once the data is deleted, it can take time (days to even weeks) for it to be reported to Virginia Tech. Until it is reported to Virginia Tech, CAT and MyCAT will not be updated.

Google account reset

If this data is representing a significant portion of your Google storage, and you are unable to delete it, you can request that your Google account be reset, Reset Virginia Tech Google Account. However, if the original configuration for the data is not resolved, it may appear again.
