Adding, Removing, Changing, and Managing Members of a ServiceNow Group


Introduction

The owner of a Group in ServiceNow can submit the Manage My Group service catalog request item to automatically add or remove members of their Group.

Instructions

Add People to Your Group

  1. Go to the ServiceNow: Manage My Group service catalog item.
  2. Click Request this service.
  3. Under the first question, from the drop-down, click Add a person to the Group.
  4. Under the second question, from the drop-down, click the Group that you want to add the person to.
    (If you do not see a Group, you are not the owner of that Group; ask the owner of the Group to follow these instructions, instead.)
  5. Under the third question, from the drop-down, search for and / or scroll to the person(s) you want to add.
  6. Click Submit.
  7. Once the confirmation message appears, have the person(s) that you added log out of 4Help / ServiceNow, and log all the way out of Login, and then log back into 4Help / ServiceNow in order for the changes to take effect.
  8. To add more people, use your browser's refresh function to refresh the page, and then repeat these steps.

Remove People from Your Group

  1. Go to the ServiceNow: Manage My Group service catalog item.
  2. Click Request this service.
  3. Under the first question, from the drop-down, click Remove a person from the Group.
  4. Under the second question, from the drop-down, click the Group that you want to remove the person from.
    (If you do not see a Group, you are not the owner of that Group; ask the owner of the Group to follow these instructions, instead.)
  5. Under the third question, from the drop-down, search for and / or scroll to the person(s) you want to remove.
  6. Click Submit.
  7. To remove more people, use your browser's refresh function to refresh the page, and then repeat these steps.

View the Members of Your Group

To see the people in a Group, use the same steps **as if** you were removing someone from the Group, but you will **not** actually submit the removal request.

  1. Go to the ServiceNow: Manage My Group service catalog item.
  2. Click Request this service.
  3. Under the first question, from the drop-down, click Remove a person from the Group.
  4. Under the second question, from the drop-down, click the Group that you want to view.
    (If you do not see a Group, you are not the owner of that Group.)
  5. Under the third question, click the drop-down; members of the Group will appear in this third drop-down.

Make Someone Else the Owner / Manager of Your Group

There can only be one owner / manager of a Group. If you assign someone else to be the owner / manager of your Group, you will no longer be able to add or remove people from the Group.

To set another person as the owner or manager of a group:

  1. Go to the ServiceNow: Manage My Group service catalog item.
  2. Click Request this service.
  3. Under the first question, from the drop-down, click Change the Manager of the Group.
  4. After carefully reading the pop-up warning, click OK.
  5. Under the second question, from the drop-down, click the Group.
    (If you do not see a Group, you are not the owner of that Group; ask the owner of the Group to follow these instructions, instead.)
  6. Under the third question, from the drop-down, search for and / or scroll to the person you want to be the owner / manager of the Group.
  7. Click Submit.

Create a New ServiceNow Group

To have a new ServiceNow Group created, submit an incident to 4Help by clicking Get Help on the 4Help Portal and ask that it be sent to the ServiceNow team. Include:

  • A suggestion of what you would like the Group to be called (The ServiceNow team may alter your suggestion as necessary),
  • the name and PID of the person that will be the owner of the Group (This person will be responsible for adding and removing people to this Group), and
  • the name(s) and PID(s) of any people you want to be added to Group initially (The Group owner can add additional people at any time by following the above instructions).

Leave a ServiceNow Group

To quit or be removed from a ServiceNow Group, ask the owner of the Group to remove you from it. You can send them the instructions above: Remove People from Your Group.
