Introduction
This article describes how to configure certain Microsoft products to prevent "missed activity" emails which may inadvertently release sensitive information.
Instructions
Missed activity emails can inadvertently expose sensitive content—such as document comments or snippets—to email inboxes, even in Teams or SharePoint environments labeled for confidential or clinical data. This guide helps users disable these notifications to maintain compliance and reduce unnecessary email traffic. These settings are user-specific and must be adjusted individually. There is currently no global admin setting to disable this for all users, teams, or sites.
Microsoft Teams
- Open the Teams app or go to https://teams.microsoft.com.
- Click on the “…” next to your profile picture on the top right-hand side.
- Click Settings.
3. Click on Notifications and activity.
4. Scroll down to the Missed Activity Emails section. - Change the dropdown menu to Off.
SharePoint & OneDrive
SharePoint and OneDrive do not send "missed activity" emails in the same way as Teams, but they do generate sharing notifications and comment alerts. However, starting July 2026, SharePoint Alerts will be fully retired, and Alerts will stop working.
Outlook
Outlook itself doesn’t generate missed activity emails but displays them as received from other apps like Teams. However, you can create a rule to filter or delete these:
- Go to Outlook Settings > Rules.
- Create a new rule:
- Condition: Subject includes “Missed activity”
- Action: Move to folder or delete
